“Stories and lessons from an unexpected journey in finance.”

I once stepped into a scaling organization that was incredibly proud of their latest tech investment. They had just dropped $2.5M on a top-tier, enterprise-grade ERP system. The pitch from the vendor was irresistible: seamless workflows, zero manual data entry, and a frictionless financial engine.
The reality? Six months post-implementation, their month-end close had actually increased from twelve days to fifteen. The finance team was pulling their hair out, working until midnight, and manually exporting data from the shiny new system into Excel just to reconcile it the “old way.”
This is the ultimate trap for financial leaders in growing companies. We are repeatedly sold the illusion that we can simply buy our way out of operational chaos with an expensive subscription. But here is the tough candor: Software does not fix broken operations; it just scales your dysfunction faster.
When you layer a high-speed SaaS tool over a fundamentally flawed, undocumented workflow, you do not achieve true automation. You achieve a highly efficient disaster. It is the equivalent of dropping a modern supercar engine into a rusty go-kart. It is going to violently shake itself apart the moment you hit the gas.
If you want to actually modernize your finance function without burning out your team, you have to do the unglamorous work first. Here is how you prepare for true automation:
Standardize Before You Digitize:
You cannot automate a process that relies on tribal knowledge or three different people executing it three different ways. Map out the manual workflow step-by-step and force strict standardization before you write a single check to a software vendor.
Eliminate Process Debt:
Implementing new technology is the perfect excuse to kill useless reports, redundant approvals, and legacy bottlenecks. Do not spend hundreds of thousands of dollars to perfectly replicate a terrible, ten-year-old process in the cloud.
Tech Serves the Process, Not Vice Versa:
Your software must be configured to support a lean, optimized operation. If you find your team constantly creating shadow spreadsheets and manual workarounds just to get the new software to function, your implementation has already failed.
A world-class tool is entirely useless without a world-class process to support it. Optimize manually, document rigorously, and then automate ruthlessly.
Have you ever lived through a software implementation that actually created more manual work?
